Terms of ServiceStudent Terms

1. Scope

This section applies exclusively to Users registered as Students. These terms supplement the general Terms of Service and do not replace them.

2. Academic Requirements

The Student represents that they:

  • Are enrolled in or graduated from a recognized medical institution
  • Meet minimum requirements for clinical rotations
  • Possess necessary academic documentation
  • Will present valid certificates when requested
  • Will inform MedicalRotations of changes in academic status

Medical schools may require validation of clinical hours, supervision, and facility accreditation. The Student is responsible for confirming that the rotation is accepted by their institution.

3. Required Documentation

The Student is responsible for providing verified and updated documentation, including:

  • Passport or visa
  • Official ID
  • Updated CV
  • Diploma, transcript, or school letter
  • Complete immunizations
  • TB test
  • Valid health insurance
  • Compliance certificates or training
  • Additional forms required by Clinics or Universities

Document Falsification

Document falsification results in:

  • Immediate account cancellation
  • Reporting to academic or clinical institutions
  • Loss of non-refundable payments
  • Potential legal action

4. Medical and Insurance Requirements

The Student must have:

  • Valid health insurance for the entire rotation
  • Up-to-date immunizations
  • Required health tests
  • Compliance with clinical safety protocols

Standard Immunization and Health Documentation

Most U.S. clinical sites require Students to present the following records before the start of a rotation. Specific requirements may vary by Clinic; Students are responsible for verifying and providing what each Clinic demands.

  • Hepatitis B — complete 3-dose series, or positive titer with IgG levels
  • MMR (Measles, Mumps, Rubella) — 2-dose series, or positive titer with IgG levels
  • Varicella — 2-dose series, or positive titer with IgG levels (history of disease alone is not accepted; a titer is required)
  • Tdap — administered within the last 10 years
  • Tuberculosis (TB) — negative PPD or QuantiFERON-TB Gold within the last 12 months, or chest X-ray within the last 6 months
  • Seasonal Influenza — required when participating between October and April
  • N95 Respirator Fit Test — completed within the last 12 months
  • Government-issued photo ID and, for students, a current school ID

All records must be validated according to U.S. CDC standards and signed or stamped by an appropriate medical source. Records that are incomplete, expired, or self-reported without supporting documentation may be rejected by the Clinic, and the rotation may be delayed or canceled.

Background Checks and Administrative Requirements

Clinics may require criminal background checks, drug screening, additional facility-specific orientation, or proof of enrollment prior to the start of a rotation. Any associated administrative or background-check fees imposed by the Clinic are the Student's responsibility and are typically non-refundable, even if the rotation is canceled or rescheduled.

MedicalRotations is not responsible for injuries, illnesses, or accidents during rotations.

5. Professional Conduct

Students are expected to:

  • Maintain ethical and respectful behavior
  • Comply with clinical rules
  • Respect patients, staff, and supervisors
  • Avoid unsafe or inappropriate conduct
  • Follow instructions from supervisors or clinical staff

Supervision and Site Restrictions

  • The Student must remain with their assigned supervising clinician or employee at all times while in the assigned department, unit, or clinic. If the supervisor is unavailable, a previously designated alternate must take over supervision; otherwise the rotation activity must pause or be rescheduled.
  • Participation is restricted to the sites, units, and shifts authorized by the Clinic. Wandering into unauthorized areas is prohibited.

Dress Code and Identification

  • Professional attire is required at all times. Jeans, shorts, spandex, cropped tops, and leggings are not acceptable. Footwear must be closed-toe.
  • Attire must be clean, modest, and appropriate for the assigned work area. Scrubs are not permitted unless required by the procedural site.
  • The Student must wear the identification badge issued by the Clinic at all times, above the waist and with the photo side facing outward.
  • The Student must not present themselves, in conduct or appearance, as a licensed medical professional.

Devices, Notes, and Patient Records

  • Cell phone use is not permitted during the observation period, except as expressly authorized by the supervising clinician.
  • The Student may not make notations in, or alterations to, any patient chart or medical record.
  • No written, printed, or digital patient information may be removed from the Clinic's property or from patient rooms.

Patient Consent and Scope of Participation

  • The supervising clinician must inform each patient that a Student observer is present and must obtain the patient's consent before the Student may be present during an examination or procedure.
  • Where the Student is participating in an observational capacity, the Student may not engage in direct patient care, including physical examination, taking medical history, counseling patients or their family members, assisting in surgery or other procedures, or otherwise interacting clinically with patients beyond what the supervising clinician expressly authorizes within the scope of the rotation.
  • The scope of permitted hands-on activity is determined by the Clinic, the supervising clinician, the Student's academic level, and any applicable licensing or training requirements. The Student must not exceed that scope under any circumstance.

Property and Access Credentials

All property issued by the Clinic — including badges, parking permits, scrubs, and electronic access credentials — must be returned upon completion of the rotation. The Student may be billed by the Clinic for any lost, stolen, or destroyed property at the rate established by that Clinic.

Prohibited Behavior

  • Disrespectful or discriminatory conduct
  • Harassment of any kind toward patients, staff, supervisors, or other Students
  • Privacy violations (HIPAA)
  • Unauthorized medical practice or holding oneself out as a licensed provider
  • Substance use affecting performance
  • Unexcused absences
  • Photographing, recording, or transmitting any image or audio of patients, staff, or the Clinic's facilities

Failure to comply with the Clinic's policies or with these terms may result in immediate removal from the rotation, forfeiture of fees paid, reporting to the Student's academic institution, and, where applicable, referral to regulatory authorities.

6. Attendance and Punctuality

The Student is responsible for:

  • Attending all required sessions
  • Complying with schedules and shifts
  • Notifying justified absences in advance
  • Completing all required activities

Clinics may remove Students for excessive absences.

7. Cancellations and Changes

Policies depend on:

  • The Clinic
  • The specific program
  • Availability
  • Timing of cancellation
  • Policies published on the Platform

Certain fees may be non-refundable.

8. Employment Relationships

The Student acknowledges:

  • They are NOT an employee of MedicalRotations or any Clinic
  • They do not receive wages, benefits, or compensation
  • Participation is educational and not an employment relationship

9. Confidentiality and HIPAA

As a Student participating in a clinical rotation, the Student has both an ethical and a legal duty to keep patient information confidential. The federal Health Insurance Portability and Accountability Act of 1996 (HIPAA) permits health care providers to use or disclose Protected Health Information ("PHI") only in limited circumstances. Depending on the Clinic's status (including whether it operates as a teaching facility under an applicable health-care-operations exception) and on facility policy, the presence of a Student observer during a clinical encounter may require the patient's authorization. The Clinic determines what is required at its site; the Student must follow whatever procedure the Clinic and the supervising clinician put in place.

Failure to maintain the confidentiality of patient information as required by HIPAA is a violation of federal law and may carry civil and criminal penalties, in addition to academic and platform consequences.

Scope of Protected Information

The Student acknowledges that confidential information is protected in every form, including:

  • Written records, charts, and printed documents
  • Correspondence, faxes, and physical mail
  • Oral communications, including hallway and break-room conversations
  • Electronic records, emails, messaging, and any computer programs or applications used at the Clinic
  • Identifiers such as names, room numbers, photographs, video, audio, and any data that could reasonably be used to identify a patient

Use of Confidential Information

Access to confidential information is granted to the Student solely for the purpose of gaining educational insight into the relevant clinical field. The Student agrees that:

  • PHI accessed during the rotation will not be used for any personal, academic, commercial, or social purpose.
  • Privileged information will only be discussed with authorized parties, and only in private locations within the Clinic.
  • Medical records are legal documents; unauthorized disclosure may result in legal action against the Clinic, the supervising clinician, and the Student individually.

Prohibited Actions

  • Photographing, filming, or recording patients, staff, or facilities
  • Disclosing clinical information to any person not authorized to receive it
  • Sharing patient data, case details, or identifying information on social media, messaging apps, or any public forum, even in de-identified form
  • Removing PHI, copies of records, or screenshots from the Clinic's property
  • Discussing patients in elevators, cafeterias, parking lots, or any other public area

Continuing Obligation

The Student's confidentiality obligations under this Section and under HIPAA continue indefinitely after the rotation ends, after the Student's account on MedicalRotations is closed, and after any relationship with the Clinic has terminated.

Violations may result in:

  • Immediate removal from the rotation
  • Termination of the Student's account on MedicalRotations
  • Reporting to the Student's academic institution and to regulatory bodies, including the U.S. Department of Health and Human Services Office for Civil Rights
  • Civil and criminal legal action under HIPAA and applicable state law

10. Inherent Risks, Release, and Waiver

Students acknowledge risks inherent in rotations, including:

  • Exposure to infectious diseases, communicable illness, and biohazards
  • Needle-stick or sharps injuries and blood/body-fluid exposure
  • Clinical accidents and physical injury
  • Physical or emotional stress
  • Direct interaction with patients, including patients who may be unstable, contagious, or violent

Status of the Student

The Student understands and agrees that, while participating in a rotation, the Student is not an employee, agent, or contractor of MedicalRotations or of the Clinic, and is not eligible for compensation, benefits, workers' compensation, or any other form of insurance maintained by MedicalRotations or by the Clinic for its employees, unless a separate written agreement expressly provides otherwise.

Assumption of Risk

The Student expressly acknowledges and assumes all inherent risks associated with participation in a clinical rotation, including the risk of bodily injury, personal injury, illness, exposure, infection, death, and property damage. The Student affirms that the decision to apply for and attend a rotation is voluntary.

Release and Waiver

In consideration of being permitted to participate in a rotation arranged through the Platform, the Student releases and forever discharges MedicalRotations and Verlam Global LLC, their officers, employees, contractors, and affiliates from any and all liability, claims, and demands of every kind, whether in law or in equity, that arise or may arise from the Student's participation in any rotation. This release covers bodily injury, personal injury, illness, exposure, death, and property damage that may result from participation at any Clinic site or in any clinical activity facilitated through the Platform. The Student understands that this release does not, and is not intended to, release any Clinic from its own independent legal obligations to the Student.

Insurance Acknowledgment

The Student acknowledges that MedicalRotations does not provide health insurance, professional liability insurance, malpractice insurance, or workers' compensation coverage for the Student. The Student is solely responsible for maintaining the insurance coverage required by their academic institution, by the Clinic, and by applicable law.

Governing Law and Scope

This Release and Waiver is governed by the laws of the State of Wyoming and is intended to be interpreted as broadly as permitted by law. If any provision is held invalid by a court of competent jurisdiction, the remaining provisions remain in full force and effect.

Acknowledgment by Minors

If the Student is under the age of eighteen (18) at the time of participation, a parent or legal guardian must also read, agree to, and execute this Release and Waiver on behalf of the Student before the rotation may begin.

Participation is voluntary and at the Student's own risk. By creating an account and applying for a rotation on the Platform, the Student affirms that they have read, understood, and accepted the terms of this Release and Waiver.

11. Immigration and Visa Disclaimer

MedicalRotations is a technology marketplace and does not provide immigration, visa, or legal advice. The Student is solely responsible for determining and maintaining the immigration status appropriate for the activity they intend to perform on a rotation.

In particular, the Student acknowledges and agrees that:

  • MedicalRotations does not guarantee visa eligibility, visa issuance, admission to the United States, or the ability to participate in any specific type of clinical experience under any specific visa category.
  • The permissibility of observership, externship, clerkship, or any hands-on clinical activity under a B-1/B-2 (visitor), F-1, J-1, H-1B, or other immigration status is determined by U.S. Citizenship and Immigration Services, U.S. Customs and Border Protection, the U.S. Department of State, the Clinic, and applicable state licensing rules — not by MedicalRotations.
  • Whether a particular rotation is purely observational or involves hands-on patient care is controlled by the Clinic and the supervising clinician. The Student must independently verify that the actual scope of the rotation is consistent with the Student's lawful immigration status, and must promptly withdraw if it is not.
  • The Student is responsible for any visa application, ECFMG/sponsor requirements, ESTA registration, travel arrangements, insurance, accommodation, and related costs, and for compliance with the terms of any visa or program under which the Student is present in the United States.
  • If a visa is denied, delayed, revoked, or otherwise unavailable, MedicalRotations will not be liable for related costs, including non-refundable Clinic fees, administrative fees, travel costs, or lost academic time.

The Student is encouraged to consult their academic institution's international-student office and a qualified U.S. immigration attorney before booking any rotation that requires international travel.

Nothing posted on the Platform — including rotation descriptions, marketing materials, communications with MedicalRotations support, or content from other Users — should be relied upon as immigration or legal advice.

12. No Guarantee of Placement

Submitting an application, completing a payment, uploading documentation, or otherwise using the Platform does not guarantee:

  • Acceptance by any Clinic
  • Continued availability of seats, dates, or schedules
  • Credentialing approval, document approval, or background-check clearance
  • Visa issuance or successful international entry
  • Completion of the rotation once started, including the right to a letter of recommendation, evaluation, or any specific number of clinical hours
  • Recognition of the rotation by the Student's medical school, residency program, ECFMG, or any licensing body

Clinics may, in their sole discretion and consistent with their published policies, cancel, reschedule, shorten, or terminate a rotation for academic, clinical, regulatory, credentialing, staffing, capacity, safety, or behavioral reasons. The Student's remedies in those situations are governed by the Clinic's policies, by these Terms, and by the applicable refund rules disclosed at booking — not by any representation made informally before booking.
