Terms of ServiceUniversity Terms

1. Scope

This section applies to Universities, medical schools, health sciences institutions, or other academic entities that:

  • Register Students
  • Manage institutional payments
  • Administer student lists
  • Coordinate clinical programs through MedicalRotations

These terms supplement, not replace, the main Terms of Service.

2. Institutional Registration and Documentation

The University represents that:

  • It is a legitimately established educational institution
  • Holds required accreditations
  • The information provided is true and verifiable
  • It designates an authorized institutional representative

Falsification of accreditation or identity may result in immediate termination.

3. Submission and Verification of Students

Universities are responsible for:

  • Providing accurate and complete student lists
  • Verifying that Students meet academic requirements
  • Confirming documentation and required training
  • Keeping institutional group information updated

Proof of Enrollment

When a University submits a Student or a group of Students for a rotation, the University warrants that each Student is, at the time of submission and through the rotation start date, actively enrolled or recently graduated in good standing in a program for which the rotation is appropriate. The University agrees to provide proof of enrollment (such as a school ID, enrollment letter, or registrar verification) when requested by MedicalRotations or by the receiving Clinic.

Pre-Rotation Health and Compliance Documentation

The University acknowledges that most U.S. Clinics require documented immunizations and health clearances before a Student may begin a rotation, including (without limitation) Hepatitis B, MMR, Varicella, Tdap, current Tuberculosis screening, seasonal influenza when applicable, and a current N95 respirator fit test. The University agrees to:

  • Inform its Students of the specific requirements posted by each Clinic.
  • Where the University collects health documentation institutionally, ensure that the records it transmits through the Platform are validated according to U.S. CDC standards and signed or stamped by an appropriate medical source.
  • Not knowingly submit Students with incomplete, expired, or unverified records.

The University also acknowledges that Clinics may require criminal background checks, drug screening, or other facility-specific clearances. The University is responsible for communicating those requirements to its Students and for not interfering with the Clinic's verification process.

Universities acknowledge sole responsibility for errors or falsification.

4. Academic Coordination

The University must:

  • Ensure rotations meet acceptable academic criteria
  • Determine credit eligibility
  • Notify Students of internal requirements
  • Update institutional policies as needed

MedicalRotations does not guarantee academic compatibility.

5. Institutional Payments

Institutional payments may include:

  • Group fees
  • Administrative fees
  • Rotation costs
  • Additional charges under specific agreements

Universities accept that:

  • All payments must be made through the provided system
  • Certain charges may be non-refundable
  • Payments must be completed before rotations begin
  • Delays may affect availability

6. Stripe Connect and Billing

To manage payments, the University may be required to:

  • Connect to institutional Stripe Connect
  • Upload valid tax and banking information
  • Accept Stripe policies

All financial transactions occur:

  • Within the Platform
  • Under Stripe rules
  • Following fee structures at the time of the transaction

7. Conduct and Compliance Responsibilities

Universities are responsible for:

  • Communicating conduct expectations to Students
  • Monitoring academic and disciplinary compliance
  • Acting on misconduct reports
  • Coordinating with Clinics as needed

Pre-Rotation Briefing

Before a Student begins a rotation arranged through the Platform, the University agrees to make a reasonable effort to ensure that the Student has been briefed on, and understands:

  • HIPAA and patient-confidentiality obligations, including the prohibition on photographing, recording, or sharing patient information.
  • The observational scope of the rotation and the limits on hands-on patient contact unless expressly authorized by the supervising clinician.
  • Professional attire, identification (badge), device-use, and conduct standards applicable at the Clinic.
  • The Student's obligation to follow the instructions of the supervising clinician and the Clinic's incident-reporting procedures.

Immigration and Visa Compliance

For Students traveling internationally to participate in a rotation, the University acknowledges that MedicalRotations does not provide immigration or visa advice and does not certify whether any particular rotation is permissible under a B-1/B-2, F-1, J-1, H-1B, or other immigration status. The University agrees to direct its Students to its own international-student office and to qualified U.S. immigration counsel, and to make clear that the determination of whether a rotation is observational or hands-on — and whether that scope is lawful under the Student's status — rests with the Clinic, applicable U.S. authorities, and the Student, not with MedicalRotations.

MedicalRotations does not supervise academic conduct.

8. Institutional Cancellations and Modifications

If the University requests cancellations or changes:

  • Policies in effect at that time will apply
  • Changes may incur additional charges
  • Some modifications may not be allowed by Clinics

MedicalRotations does not guarantee group reservation modifications.

9. Prohibition of Institutional Circumvention

Universities may NOT:

  • Arrange rotations directly with Clinics using information obtained from MedicalRotations
  • Contact Clinics to bypass the Platform
  • Instruct Students to book outside the marketplace
  • Reproduce or copy marketplace listings for external use

Violations may result in:

  • Institutional suspension
  • Payment retention
  • Terminated access
  • Legal action

10. Institutional Responsibility

The University acknowledges that:

  • It acts as an academic entity, not a clinical provider
  • It is responsible for the accuracy of institutional information
  • It must verify student eligibility
  • It is responsible for academic, not clinical, supervision

MedicalRotations is not responsible for:

  • Internal accreditation decisions
  • Curricular changes
  • Institutional requirements
  • Credit or grading validation
